Hyalite’s annual Student Art Show is a highlight of the school year, showcasing the creativity and hard work of students. This year, the event will take place on Tuesday, April 21st, from 5 to 7 pm in the gym. To make this event a success, the school needs volunteers to help with several important tasks before, during, and after the show. Whether you have a few hours or an entire shift to spare, your support will make a big difference.
How You Can Help Prepare on April 18th
The first opportunity to get involved is on Saturday, April 18th. Volunteers will meet in the school library to mat the students’ artwork. Matting is the process of placing artwork on a backing board to prepare it for hanging. This step is essential to protect the pieces and give them a polished look for the show.
What to expect:
Work in a friendly group setting
Learn basic matting techniques
Help organize artwork by student or grade
Spend about 2 hours in the morning or afternoon (time slots are available on SignUpGenius)
Even if you have never matted artwork before, volunteers will guide you through the process. This is a great way to contribute behind the scenes and connect with other parents and community members.
Volunteer Roles on the Day of the Show
On Tuesday, April 21st, volunteers are needed for several shifts to support the event itself. These roles include:
Hanging Art in the Gym (10 AM - 4 PM)
Volunteers will help hang the matted artwork on display panels and walls in the gym. This task requires some physical activity and attention to detail to ensure each piece is displayed properly.
Times: Two hour blocks, starting at 10 AM and ending at 4 PM.
Tasks: Hanging artwork, arranging displays, labeling pieces
Event Assistance (5-7 pm)
During the show, volunteers will assist with welcoming guests, answering questions, and helping manage the flow of visitors. This role is perfect for those who enjoy interacting with people and supporting community events.
Roles: Snack Table, Resecuring/Monitoring Art, and Raffle Basket Table
Tasks: Greeting attendees, guiding visitors, monitoring artwork, selling raffle tickets.
Clean-Up Crew (After 7 pm)
After the event ends, volunteers will help take down the artwork and clean the gym. This ensures the space is returned to its normal condition and that the artwork is safely packed away.
Time: Immediately after the show, around 7 pm
Tasks: Removing artwork, packing materials, cleaning up
How to Sign Up and What to Expect
Volunteers can sign up for any of the shifts listed above using SignUpGenius. If you cannot commit to a full shift, you are still encouraged to sign up and note your availability in the comments. Every bit of help counts and is appreciated.
To make it easy, Hyalite has set up a SignUpGenius where you can find all the details about the raffle, ticket purchases, and volunteer sign-ups.
Volunteering is a rewarding way to support students and the school community. It also offers a chance to see the amazing artwork up close before the event opens to the public.
Why Your Help Matters
The Student Art Show is more than just an exhibition. It celebrates student creativity, builds confidence, and brings families and community members together. Volunteers play a key role in making the event run smoothly and creating a welcoming atmosphere.
By volunteering, you:
Support student artists and their efforts
Help create a professional and enjoyable event
Connect with other parents, teachers, and community members
Gain a behind-the-scenes look at how school events come together
Additional Ways to Support
If you cannot volunteer your time, you can still support the event by purchasing raffle tickets through the Cheddar Up link, coming Monday, April 13th. See the newsletter for more details. The raffle helps raise funds for art supplies and future student programs.
Every ticket purchased contributes to the success of the art program and encourages students to keep exploring their talents.
